BOOKKEEPER / ADMINISTRATOR

Reports to: Executive Pastor

Term: Full-time, ongoing – 30-40 hours/week

Location: Some aspects require working on-site at the church. Work-at-home hours can be discussed.

 

Job Summary:  You play a key role in Town + Field Church’s mission of joining God in restoring all things by being responsible for accurate financial recording, responsible stewardship, and administrative excellence.

 

Wages and Benefits:  $25-$30/ hour depending on education and experience.   EFCC benefit package

 

Key Job Functions and Responsibilities

  1. Bookkeeping
    1. Prepare and process bills, cheque disbursements, accounts payable, etc.
    2. Prepare, process, and reconcile monthly Visa reconciliations
    3. Prepare monthly Bank Reconciliations and review accounts payable age listing
    4. Processing bi-weekly payroll, recordkeeping and maintenance of employee pay and benefits files
    5. Update, post and reconcile journals, ledgers, and other financial records within the deadlines set for timely reporting to the leadership and board.
  1. Business Administration
    1. Oversee purchasing and inventory for various supplies, including office, cafe, janitorial, swag, new here gifts, etc.
    2. Manage monthly and annual subscriptions and services such as payment of online services, Amazon purchases, movie licensing agreements,
    3. Serving as the primary first contact for inquiries, vendors and congregation through church email accounts, phones, and mail, directing these inquiries to the appropriate staff.
    4. Coordinate facility rentals and bookings, keys, building access, alarm codes etc.

 

  1. Donor Management
    1. Processing, depositing, and entering weekly donations (pre-authorized debit, cash/cheque, credit) and other sources of income (eg. rent, program revenue)
    2. Entering new donor information into our donation management software.
    3. Provide periodic donor-giving analysis and previous year comparisons
    4. Annually issuing tax receipts.
  1. Financial Reporting
    1. Provide the Finance Committee and the Executive Pastor customized monthly reports.
    2. Prepare monthly spending reports for staff
    3. Provide an annual report for independent Audit

 

Skills and Characteristics

  1. Knowledge, Skills, and Abilities
  2. Minimum – Certificate or Diploma in Accounting or equivalent
  3. Min 2 years experience in a bookkeeping/accounting environment (preferred non-profit/charitable organization experience)
  4. Competent experience with Quickbooks Online (preferred)
  5. Competent experience or willingness to learn the software presently in use by Town+Field including Payworks, Planning Center – Giving, Stripe and the Google suite including Gmail and Google Drive
  6. Competent experience with spreadsheet and word processing software ( Excel, Word, Google Docs and Google Sheets).
  7. Skilled with numbers, attentive to details, and organized.
  8. Able to problem solve, learn quickly, take initiative, and multi-task under pressure.
  9. High level of integrity and reliability
  10. Willing to adapt and creatively develop processes

    1. Christian faith and character with a teachable and humble spirit
    2. The ability and desire to use strong administrative and organizational skills to serve others
    3. Discretion in handling sensitive financial and personal information and with a heart of compassion
    4. Collaborative team player
