General Description
In this position, the Administrative Assistant would:
● Providing administrative support to a team of youth workers including things like volunteer management, event planning and monitoring financial database.
● Coordinating Area staff meetings, i.e. preparing an itinerary, purchases of food, and booking location.
● Typing and editing various correspondence including taking and distributing minutes of team meetings.
● Helping write, edit, and create digital and physical newsletters to provide ministry updates to partners of the regional director and other team members.
● Processing the distribution of physical newsletters mail-out, i.e. stamping, folding, and assembling envelopes for mailing delivery
● Ensuring resources are available for staff by booking equipment and looking after all office supplies.
● Maintaining record of vacation requests and vacation dates of each team member
● Sending out email reminders of calendar dates
● Processing relevant invoices, cheque requests, and journal entries (financial transfers)
● Applying for and keeping track of various relevant grant applications
● Help with ongoing additions to a team of ministry partners who help fund the Surrey’s Ministry, benefits, and ministry expenses.

● Professionalism in verbal and written communication
● Compiling lists, events, and updating the Surrey informational calendar
● Proficiency in producing written content/newsletters
● Consistency and boldness in engaging a wide network of financial and community partners
● Ability to work in harmony with Youth Unlimited’s existing staff team
● Ability to work in team and independently, while being a highly efficient time management
● Ability to plan and coordinate meetings, small groups, and events
Working conditions
● Use of own vehicle or public transit to travel to required locations (off-site meetings)
● Collaborating with other Surrey staff, Greater Vancouver staff, volunteers and community partners
● Developing and maintaining partnerships with individuals and community organizations
● Occasional evening work
