Position Overview
Mainsprings is seeking a detail-oriented and organized Accounting Assistant to support our financial operations. This newly created part-time role covers core bookkeeping, cash handling, and donation processing functions. The ideal candidate is reliable, accurate, and comfortable balancing independent work with friendly donor-facing communication.
Key Responsibilities
1. Cash Reconciliation & Controls
> Follow all 2-person counting and cash control procedures.
> Prepare and use tally sheets for major fundraising events.
> Ensure all funds are deposited in a timely manner.
2. Accounts Payable
> Record and pay vendor invoices.
> Maintain vendor accounts, including handling Pre-Authorized Debits.
> Process company credit card payments.
> Manage petty cash.
3. Finance & Donation Processing
> Scan cheques and upload deposits through online banking systems.
> Support the Baby Bottle Campaign:
> Prepare and organize bottles.
> Count and record donations.
> Ensure timely deposits.
> Process monthly donors.
> Process 3rd-party donations (CanadaHelps, Benevity, SkipTheDepot, PayPal, etc.)
> Record Gift-in-Kind donations.
> Reconcile and record online store sales.
> Assist with preparation for the annual audit.
4. Donor Perfect Support (Back-Up Role)
> Enter and process donation data (cash, cheque, credit card, monthly donors, 3rd-party donors, etc.).
5. Operations Support
> Assist with physical donations (shared responsibility across staff).
> Respond to donor inquiries via phone and email about physical donations.
> Coordinate donation drop-off scheduling and help build donor relationships.
Skills & Qualifications –
Bookkeeping & Accounting
> Basic bookkeeping skills, including A/P and reconciliations (credit cards, petty cash).
> Experience with Sage or similar accounting software.
> Understanding of cash controls and segregation of duties.
Organization & Time Management
> Ability to work independently and manage tasks with accuracy and timeliness.
> Strong organizational habits and attention to detail.
> Willingness to flex hours during peak seasons (e.g., Baby Bottle Campaign).
Interpersonal Skills
> Ability to communicate with kindness and professionalism with clients, donors, and volunteers.
> Comfort handling donor interactions (phone/email) with warmth and appreciation.
Technology
> Basic skills in Microsoft Office (Excel, Word, Outlook).
Working Conditions
> Based at the Calgary office; occasional travel to Airdrie and Strathmore locations for events or collaboration may be required.
> Regular Centre hours: Monday to Friday 9 AM – 5 PM.
